All City Championship Meet Files - Instructions for Data Entry Coordinator

2008 ACCM Meet Events File - this is the meet set-up file which is a zip file.  Save the file to the hard drive.  Open Team Manager and go to File/Import/Meet Events.  Select the file you have just saved. This will import what is needed to set up the events for this meet.  Enter meet entries as normal, click on Meets/Entries/Select the All City Meet/Entries by Name.   That display the eligible events for a swimmer with their best times for you to select the 2 events per swimmer.  NT entries are not allowed for the All City Championship Meet. A swimmer must have swum the desired event legally in either a dual meet or Time Trials.

Make sure that you include a seed time with the relays.  You can do a "Custom Seed Time" in case that the same swimmers are not swimming the event at All City that have done it at meets during the season.  For example, if your 4 fastest swimmers are not attending the All City, you should just add up the individual times for the relay members who are swimming and enter it as a custom time.  The seed time that the software generates is the fastest time that your team has swum during the season, regardless of who the swimmers were.  Please do not leave relay seed time as NT.  We want to properly seed your relays.  Remember that you do not have to put the relay swimmers' names in at this time and that you can change relay swimmers up until the meet begins.  What is required is that you enter a relay so that your space is reserved.  We can always scratch relays from the meet, but we do not want to have to deck enter any relays.
 
After all the swimmers and relays (with a seed time) have been entered, you will need to do a File/Export/Meet Entries and save to the hard drive.  Then email that export file to pferrari54@comcast.netThe entry file should be emailed to us no later than Monday July 28, so that we will have time to problem solve and post the entry lists on the website by Thursday.

The hardcopies of the meet entries should be brought to the Aquatics Office by Wednesday, July 30.  We have a form for coaches to put names of relay swimmers or to make relay changes at the meet.  The event numbers are the old event numbers, but the relay names (age/sex group and type of relay) are the same.  When you turn in your hardcopy meet entry forms to the Aquatic Office, please include a paper copy of the Meet Entry Report (Entries by Meet Event Number).  
 
Please let coaches and swimmers know that all relay events will be swum at the end of the meet sessions, not doing the Medley Relays in the beginning as is listed in the Meet Notices.  That is because that many times the same swimmers will be doing the Medley Relay and the IM and there is not enough rest between the events.  Since swimmers will only be swimming in one relay, we always run them at the end of the meet. 
 
Also, each team should send a list of swimmers who are swimming in their last year, even if they are not participating in the All City.  We always include their names in the program.  This is needed by July 30 and can be emailed to pferrari54@comcast.net also.
